Why do I get emails from NET-Phacs every day?
This is an optional service meant to provide a brief snapshot of daily telephone usage. NET-Phacs offers to email three reports daily and three reports monthly. All reports that are emailed are also available via the Internet login. The advantage of the emailed reports is that you can archive them.
What is the purpose of the "MOST-Phacs Daily Call Summary" report?
This report is meant to provide a summary 'snapshot' the period-to-date and previous day's telephone usage. It is a simple check for everything appearing normal.
What should I look for on a "MOST-Phacs Daily Call Summary" report?
We recommend looking at total call "Count", "Duration", and "Cost". Most sites will have a fairly standard pattern of usage. If the information deviates substantially from that usage, then I would look at the line item recaps. I high number of "Untyped or Below Min. Duration" calls may indicate a person's misunderstanding of the phone system, a faulty auto-dialer scheme, or something along this line. International calls or excessive information calls may be another item worth monitoring.
What are the UNTYPED/BELOW MIN. DURATION CALLS on the "MOST-Phacs Daily Call Summary" report?
An incomplete number dialed, less than 7 digits, where we cannot determine the call type is UNTYPED. Any call with a duration less than the defined call duration, usually 30 seconds, are BELOW MIN. DURATION.
What is the purpose of the "Trunk Utilization by Route" report?
This report recaps the telephone traffic by route and trunk. It is able to indicate problems with individual trunks or groups of trunks. The most common problems are: over trunking - which is indicated by one or more trunks with little or no traffic; bad trunks - which are typically indicated by a frequently used trunk that suddenly has no traffic; noisy trunks - which is indicated by a high number of calls and a short average duration; hung trunks - which are indicated by a low number of calls and a markedly higher average duration.
What if I am being charged for more trunks than are listed on my "Trunk Utilization by Route" report?
This report only lists trunks which the telephone system reports as having made or received calls. If no calls are seen for a trunk this can be caused by either the trunk or the card in the telephone system being faulty. In either case, the trunk is not being used.
What is "Call Detail Inquiry"?
It is a powerful tool for focusing in on specific calls or call types in detail or summary. This option enables you to inquire into up to a year's worth of outbound calls, both local and long distance. It enables you to filter out the specific calls you are looking for using (11) different selection criteria.
Can I assign names and departments to my extensions?
Yes, you can using the "Extension Master File Maint." option. This option allows you to assign a first name, last name, and department to an extension.
What is the difference between the report viewing options offered?
The `View' option presents the report with a reasonable level of formatting to the browser. `Text Download' option presents the report with minimal formatting to the browser. The `PDF' option uses Adobe Acrobat (the best, but slowest presentation) to present the report in a professional format that is easy to use.
Can I email a report?
Yes, the `Email' option under `Select Report' enables you to send the report as email content. The `Email w/Attach' enables you to send the report as an attachment with an a message.
Can I reconcile my carrier billing with NET-Phacs?
Yes, from the "Call Detail Inquiry" screen; change the Mode from `Detail' to `Summary' ; move down to the `Date' field and enter a `From' and `To' date that corresponds to the billing you wish to reconcile; next move down to the `Route Selected' field and enter the route number for the carrier you want to reconcile ; depress the `Search' button to display the results of your query.
